Websites and online accounting systems for London businesses
Let us be direct about the London market. If you want a full-service agency in Shoreditch with an account manager and a brand workshop, that exists and it costs what it costs. We are not that. We are a small nearshore team that builds two specific things well, quotes in one working day, and charges a fraction of London rates because our cost base sits elsewhere.
The two things are: websites (landing pages, company sites, catalogues, online shops) and online systems for internal operations (finance, inventory, process-specific modules, CRM). Order either one, or connect them so that orders, stock and invoices stop living in three separate tools.
What London businesses ask us for
A shop that stops overselling. The most common reason companies contact us. Stock in the shop and stock in the stockroom drift apart because the sync runs overnight as a file. Every order placed between two syncs is a risk, and in a market where next-day delivery is the baseline expectation, an apologetic phone call costs you the customer.
Inventory without an ERP project. A business with two locations needs six functions: inbound, outbound, reservation, stocktaking, batches, overview. A large ERP rollout solves problems you do not have and invoices you for them regardless.
Job and order tracking for service businesses. Enquiry, quote, job, invoice. The chain almost always breaks between quote and job, because nobody owns the follow-up and there is no list of quotes awaiting an answer.
Management reporting. Your accountant produces statutory accounts and VAT returns. Which service line actually earns money after delivery costs, and whether you have a cash gap in six weeks, is a different report and usually does not exist.
Replacing a spreadsheet that has become load-bearing. The one file everyone edits, nobody fully understands, and which breaks the moment two people open it at once.
Services and prices
We quote in US dollars and can settle in sterling. Figures below use a rate of 0.78.
| Service | Price | Timeline |
|---|---|---|
| Landing page | from $200 (approx. £155) | 1-2 weeks |
| Company website | from $500 (approx. £390) | 1-2 weeks |
| Catalogue website | from $900 (approx. £700) | 2-3 weeks |
| Online shop | from $1,250 (approx. £975) | 2-4 weeks |
| Financial accounting | from $500 (approx. £390) | 2-3 weeks |
| Inventory management | from $700 (approx. £545) | 2-4 weeks |
| CRM system | from $1,200 (approx. £935) | 3-10 weeks |
These figures are far below London agency rates, so it is worth being explicit about why. No office in London, no account management layer, no sales team, no modules sold on the assumption you will need them later. The trade-off is real though: no in-person meetings, and a small team rather than a department. If that trade-off does not work for you, a local agency is the better choice and we will say so.
"From" does not mean everything is included at that price. The exact figure follows the briefing, and before work starts you see what you are paying for — pages, modules, integrations.
What is specific to the UK
UK GDPR. The UK operates its own data protection regime alongside the EU one. If you handle data on people in the EU as well, both apply. Practically this means: documented lawful basis for processing, a written data processing agreement, defined access rights, a retention and deletion policy, and a stated server location. We supply all of it in writing.
Making Tax Digital. VAT records have to be kept digitally and submitted through compatible software. Our systems do not file VAT returns and do not replace your accounting software. They supply the internal figures your accountant does not produce, and hand over structured data to whatever you already use.
Xero and QuickBooks. These dominate UK small business accounting, and that is a good thing — there is no reason to replace them. The useful question is what sits alongside them. Xero handles the ledger well; it does not handle stock by variant, client-specific pricing or a job pipeline. That is the gap we fill.
Payment methods. Card via Stripe or a similar gateway is the baseline, with bank transfer for B2B. Payment terms of thirty days are common in UK B2B, which makes receivables tracking a core function: who owes what, since when, and what has been invoiced but not paid.
Companies House details. Company name, registration number and registered office belong on the website. It is a legal requirement and, more practically, the first thing a cautious B2B buyer checks.
Multi-currency. Many London businesses buy in euro or dollars and sell in sterling. Accounting in a single currency misstates margin: the rate on the transaction date and the rate on the payment date are not the same number, and the difference is real money.
How we work with London
We have no office in London. We work remotely.
For online systems this makes no practical difference — your team works in a browser, nothing is installed on an office machine. Drafts, copy and intermediate builds are reviewed online.
What we commit to instead:
- Working hours 10:00 to 19:00 in a timezone two hours ahead of
London. In practice you get a full overlap in the morning and a reply the same working day.
- All correspondence, documentation and handover notes in
English.
- Visible intermediate builds rather than a finished result on
the last day.
- Staged payments: deposit, then payment after each stage.
- No sales call before the estimate. You get a written scope and
a number.
If you need someone in the room, or a supplier with UK legal presence for procurement reasons, we are not the right fit. Better to establish that now than three weeks in.
Process
- Enquiry. Describe the task briefly — form or email.
- Briefing. We map the process, the constraints and what
already exists: shop platform, spreadsheets, accounting software, integrations.
- Prototype and estimate. Scope, stages and price fixed
within one working day.
- Development. In stages. Usual order: stock and data
structure first, shop or catalogue second.
- Launch. Stock sync, forms, analytics and access rights
checked; short written guide for your team.
- Support. Defects on our side are fixed; new work is
quoted separately and queued when you order it.
More on the process page.
Project example
Shop and warehouse in one logic — the storefront accepts an order only when the item is genuinely in stock, and nobody reconciles spreadsheets against chat threads.

Frequently asked questions
You are not based in London. How does that work? Remotely, with a full morning overlap and replies inside the London working day. For online systems and websites an on-site meeting is rarely necessary. If it is essential for you, a local supplier is the better choice.
Why are you so much cheaper than a London agency? Different cost base and no account management layer. The trade-off is no in-person presence and a small team. We would rather state that plainly than let you discover it later.
Do you replace Xero or QuickBooks? No, and you should be sceptical of anyone who says they do. We build what sits alongside the ledger: stock by variant, pricing rules, job pipelines, internal reporting.
Where is the data stored? On servers in the EU by default; a UK location can be arranged. The location is stated in the data processing agreement.
Do you provide a data processing agreement? Yes, in writing, covering technical and organisational measures and a deletion policy.
How do we pay? Bank transfer in sterling, euro or US dollars, in stages. Not the full amount on day one.
Who owns the domain, hosting and code? You do. The domain is registered in your name and access is handed over at launch.
Can you improve an existing website? Yes, if the code and hosting allow it. We check first whether careful improvement or a rebuild is cheaper, and say so plainly if repairing the old foundation costs more than replacing it.
Are there monthly costs? For a website, only domain and hosting. For online systems, depending on user count and data volume — agreed in advance, not discovered later.
