Websites and business systems for companies in Warsaw
If you run a business in Warsaw and work mainly in English, finding a development partner is harder than it should be. Most local studios sell in Polish, quote in Polish, and write documentation in Polish. That works well if your team speaks Polish. It stops working the moment your finance lead sits in Berlin and your operations lead sits in Warsaw.
We build two things: websites (landing pages, company sites, catalogues, online shops) and online systems for internal operations (finance, inventory, process-specific modules, CRM). Order either one, or connect them so that orders, stock and invoices stop living in three separate tools.
Estimate within one working day. In English, in writing.
What Warsaw companies ask us for
A shop that does not oversell. The most common request. Stock in the shop and stock in the warehouse drift apart because the update runs overnight as a file export. Every order placed between two updates is a risk.
Inventory without an ERP project. A company with two storage locations needs six functions: inbound, outbound, reservation, stocktaking, batches, overview. A full ERP rollout solves problems you do not have and bills you for them anyway.
Invoicing that satisfies Polish requirements. More on KSeF below. This is the single most common reason companies replace a working invoicing tool.
A catalogue for B2B customers. Wholesale buyers want prices and availability without emailing a salesperson. A catalogue with customer-specific pricing removes a large part of manual work.
Management numbers, not tax numbers. Your accountant produces what the tax office needs. Which product line actually earns money, and whether you have a cash gap in six weeks, is a different report entirely.
Services and prices
We quote in US dollars and can settle in złoty or euro. Figures below use a rate of 3.7 PLN.
| Service | Price | Timeline |
|---|---|---|
| Landing page | from $200 (approx. 740 PLN) | 1-2 weeks |
| Company website | from $500 (approx. 1,850 PLN) | 1-2 weeks |
| Catalogue website | from $900 (approx. 3,330 PLN) | 2-3 weeks |
| Online shop | from $1,250 (approx. 4,625 PLN) | 2-4 weeks |
| Financial accounting | from $500 (approx. 1,850 PLN) | 2-3 weeks |
| Inventory management | from $700 (approx. 2,590 PLN) | 2-4 weeks |
| CRM system | from $1,200 (approx. 4,440 PLN) | 3-10 weeks |
These prices sit well below Warsaw agency rates. The reason is cost structure, not quality: no office in Warsaw, no sales team, no modules sold on the assumption you will need them later.
"From" does not mean "everything is included at that price". The exact figure follows the briefing, and before work starts you see what you are paying for — pages, modules, integrations.
What is specific to Poland
This is where generic international tools tend to fall short.
KSeF. Poland runs a national e-invoicing system. Structured invoices are exchanged through it, and a PDF sent by email does not satisfy the requirement. Any invoicing module has to produce the correct structured format and handle incoming documents. We plan for this from the start, because retrofitting an invoicing module is more expensive than building it correctly once.
JPK reporting. Accounting data has to be exportable in the required structured files. Practically, this means your system must produce a clean export rather than a spreadsheet someone reformats by hand every month.
BLIK. The dominant consumer payment method in Poland. If you sell to consumers and BLIK is missing at checkout, a measurable share of buyers simply leaves. Usually added alongside card payments via Przelewy24 or a similar gateway.
Payment on delivery. Still common in Polish e-commerce, especially with parcel lockers. It affects how orders and stock reservations need to behave: an order is not the same as a payment, and the system has to distinguish them.
Polish accounting tools. Fakturownia, wFirma and similar services are widely used. Our systems do not replace your accounting software. They supply the internal numbers your accountant does not produce, and hand over structured data.
Bilingual content. If you sell in Poland, the customer-facing site usually needs Polish alongside English. Each language on its own URL, translated properly rather than machine-translated. We build the structure and can prepare English copy; Polish copy is best written or reviewed by a native speaker on your side.
GDPR. Server location in the EU, a written data processing agreement, documented access rights and a deletion policy. We provide all of it in writing.
How we work with Warsaw
Plainly: we have no office in Warsaw. We work remotely.
For online systems this makes no practical difference — your team works in a browser, nothing is installed on an office machine. For websites, drafts, copy and intermediate builds are reviewed online.
What we commit to instead:
- Working hours 10:00 to 19:00, one hour offset from Warsaw.
Replies land inside your working day.
- All correspondence, documentation and handover notes in
English.
- Visible intermediate builds rather than a finished result on
the last day.
- Staged payments: deposit, then payment after each stage.
- No sales call before the estimate.
If you need a supplier you can visit in person, we are not that supplier. Better to know now than halfway through a project.
Process
- Enquiry. Describe the task briefly — form or email.
- Briefing. We map the process, the constraints and what
already exists: shop platform, spreadsheets, legacy software, integrations.
- Prototype and estimate. Scope, stages and price fixed
within one working day.
- Development. In stages. Usual order: inventory logic
first, shop connection second.
- Launch. Stock sync, forms, invoice format and access
rights checked; short guide for your team.
- Support. Defects on our side are fixed; new work is
quoted separately.

Project example
Wholesale catalogue with live stock — customers pick items on the site, the salesperson sees real availability and builds the shipment from the accounting system.

Frequently asked questions
You are not based in Warsaw. How does that work? Remotely, with replies inside the Warsaw working day. For online systems and websites an on-site meeting is rarely necessary. If it is essential for you, we will say honestly that we are not a good fit.
Can you handle KSeF-compliant invoicing? Yes. The invoicing module produces the required structured format and processes incoming documents. Exact scope depends on your volume and document types.
Which language do you work in? English for all correspondence, documentation and support. Polish customer-facing copy can be prepared, but we recommend a native review on your side.
How do we pay? Bank transfer in US dollars, euro or złoty, in stages. Not the full amount on day one.
Who owns the domain, hosting and code? You do. The domain is registered in your name and access is handed over at launch.
Where is the data stored? On servers in the EU. The location is stated in the data processing agreement.
Can you improve an existing website? Yes, if the code and hosting allow it. We check first whether careful improvement or a rebuild is cheaper, and say so plainly if repairing the old foundation costs more than replacing it.
Are there monthly costs? For a website, only domain and hosting. For online systems, depending on user count and data volume — agreed in advance.
